Privacy Policy

1. General Information

Ainos Technology ("we", "company") respects the privacy of users of the DueTab mobile application ("Application"). DueTab is a mobile application for tradespeople, workshops, service teams and small businesses to keep customer, job, invoice, payment, cash and stock records, and to read data from photos and documents using artificial intelligence. This privacy policy explains how your personal data is collected, used, stored, and protected through the Application.

2. Data Collected

The DueTab application may collect the following data:

• 2.1 Business Data: Customer details, job and measurement records, invoices, payments, cash movements and stock records are stored in a local database on your device and, when cloud backup is enabled, backed up in encrypted form. Cloud backup allows you to restore your data in case of device failure or replacement. Backed up data is linked only to your account and cannot be accessed by other users.
• 2.2 AI Processing Data: When you use receipt scanning, bulk document import or photo measurement reading, the images and documents you submit are processed through cloud-based artificial intelligence services. This content may be stored on our servers to improve service quality and accuracy; it is not shared with third parties.
• 2.3 Analytics Data: We collect anonymous usage statistics using PostHog to improve the performance and usability of the application. This data may include app open counts, features used, screen views, and general usage patterns. Your personal information is not associated with this data.
• 2.4 Error Reporting: We use Sentry to detect app crashes and errors. Error reports may include technical information such as device type, operating system version, and app state at the time of the error. Your business data and customer information are not included in error reports.
• 2.5 Subscription Information: In-app purchases and subscription management are handled through RevenueCat. Payment processing is handled by the Apple App Store or Google Play; your credit card or payment information is not stored or visible to us.
• 2.6 Device Information: Operating system, device model, and app version information is collected only within the scope of error reporting and analytics.
• 2.7 AI Assistant: The app includes an AI Assistant that you can give commands to by typing or speaking. The text of your requests (what you type, or the transcript of a voice command) and the assistant’s responses (the recognized action and its values) are sent to the AI providers listed in Section 6 for processing, and are stored on our servers to improve service quality, analyze errors, and detect and prevent abuse. This data is kept for up to 12 months and then deleted; it is deleted earlier if you delete your account. We also log usage metadata such as time, duration, token counts and errors. Voice recordings are sent to the AI provider only for transcription and are not stored by us.
• 2.8 Account Information: When you create an account we store your email address and name. If you sign up with email, your password is stored only in hashed form. If you sign in with Google or Apple, see Section 10 for what we receive from them.

3. Device Permissions

DueTab requires certain permissions on your device to provide some of its features:

• Camera access: Camera access is requested to capture and digitize receipts, documents, measurement notebooks and job photos. Captured images are used for data extraction and may be stored on our servers for service improvement purposes.
• Notifications: Notification permission is requested so we can send appointment, due-date and task reminders.
• Microphone access: Microphone access is requested only for giving voice commands to the AI Assistant and is used only while you are recording a command. The recording is sent to the AI provider for transcription and is not stored by us.

These permissions are optional and you will be asked for consent when you first use the related feature. You can revoke any permission at any time through your device settings.

4. Purpose of Data Usage

The data we collect is used for the following purposes:

• Providing and improving application services
• Personalizing user experience
• Detecting and resolving technical issues
• Improving the accuracy and quality of AI features
• Fulfilling legal obligations

5. Data Storage and Security

Your business data is stored on your device and, when cloud backup is enabled, on our servers. When you delete the app, data on your device is deleted; your cloud backup is retained as long as your account is active. Images and documents submitted for AI processing may be stored on our servers for service improvement purposes. To request permanent deletion of all your data, email info@ainostec.com or use the account deletion flow inside the app. Analytics and error reporting data is subject to the retention policies of the respective third-party services and is generally anonymized or deleted within 90 days. Your data is protected with industry-standard security measures: SSL/TLS encryption, secure server infrastructure, and regular security audits. Requests sent to the AI Assistant and its responses are kept on our servers for up to 12 months for service improvement, error analysis and abuse prevention, and are then deleted; voice recordings are not stored.

6. Third-Party Services

DueTab uses the following third-party services. Each service processes user data in accordance with its own privacy policy:

• Google Gemini — Cloud-based AI reading of documents and images; processing AI Assistant commands
• OpenAI — AI Assistant: processing text commands and transcribing voice commands
• PostHog — Anonymous usage analytics
• Sentry — Error tracking and reporting
• RevenueCat — Subscription management
• Firebase — Push notification delivery and measurement
• Apple App Store / Google Play — Payment processing

Your personal data is not shared with third parties other than the services listed above.

7. Analytics Tools

The application uses the PostHog analytics tool for performance improvement and user experience enhancement. This tool collects anonymous usage data and does not contain personally identifiable information. The same tool measures which pages are viewed on the ainostec.com marketing pages; no analytics runs on this privacy policy page or on the terms of use page.

8. User Rights

Under the Personal Data Protection Law No. 6698 (KVKK), you have the following rights:

• Learning whether your personal data is being processed
• Requesting access to and correction of your personal data
• Requesting deletion of your personal data
• Objecting to data processing activities
• Requesting portability of your data

9. Children's Privacy

Our application is not intended for children under the age of 13, and we do not knowingly collect personal data from children. If you are a parent or guardian and notice that your child has shared data, please contact us.

10. Google User Data (Sign in with Google)

You can create and sign in to your DueTab account with Google ("Sign in with Google") or with Apple ("Sign in with Apple"). This section explains what we receive from Google and how we handle it.

• Data accessed: When you choose Sign in with Google, the app requests only the basic sign-in scopes openid, email and profile. From these we receive your Google account ID, your email address (and whether Google has verified it) and your display name. We do not request access to any other Google data, such as Gmail, Google Drive, Google Contacts or Google Calendar.
• How we use it: This data is used only to create your DueTab account or sign you in to it, to identify you within the app, and to contact you about your account. It is not used for advertising or ad targeting and it is not sold.
• How we store it: Google gives the app a signed ID token. Our server verifies this token with Google and then creates or links your user record, which stores your email address, your display name and the Google account ID that links the sign-in to your account. The ID token is used only for this check and is not kept. We do not receive or keep Google access tokens or refresh tokens. Account data is protected as described in Section 5.
• Sharing: We do not share, sell or transfer data received from Google to third parties, except to the providers that host and operate our servers on our behalf, or where required by law.
• Deletion: You can delete your account at any time in the app or at https://ainostec.com/duetab/delete-account. Deleting your account permanently removes your email address, your name and the link to your Google account from our servers. You can also remove DueTab's access at any time in your Google Account settings at https://myaccount.google.com/permissions.
• Sign in with Apple: If you sign in with Apple, we receive your Apple user ID, your email address (which may be an Apple private relay address) and, on your first sign-in only, your name. This data is used, stored and deleted in the same way as described above.

DueTab's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements: https://developers.google.com/terms/api-services-user-data-policy

11. Policy Changes

We may update this privacy policy from time to time. You will be notified of significant changes through in-app notifications or email. The current policy is always published on this page.
